The Executive Assistant provides confidential, high-level administrative, technical and analytical support to Chief Executive Officer (CEO), Chief Operating Officer (COO) and Chief Financial Officer (CFO).

Key Duties:
- Schedule and maintain the CEO, COO and CFO calendar of appointments, meetings, conferences and coordinate related arrangements.
- Brief CEO, COO and CFO daily on calls, e-mails, events and any follow-up requests from internal and external contacts. Screen and prioritize essential requests in action order.
- Maintain and manage expense reports. Administer incoming mail, opening and routing as appropriate. Prepare outgoing mail and correspondence, including e-mail, faxes and UPS shipments.
- Administer and maintain the company board portal, setup new users, administer security access, provide technical assistance, troubleshoot issues, upload dead-line driven materials, and assists users of the program.
- Plan, prepare and coordinate all quarterly earnings calls from start to finish including drafting and finalizing announcement of call; work with other departments for completion of presentation; proofing and formatting; setting up dial-in number, webcast, and being present during the call.
- Plan, prepare and distribute news releases as needed for the company (Quarterly, Dividend, tax and announcement of new executives, etc.). Notify stock exchange as required.
- Manage content updates to external investor relations website and maintains investor relations database by tracking interactions with shareholders.
- Research and compose presentation materials (both verbal and written) using a variety of software applications. This includes drafting, formatting, final editing, consolidation and production.
- Coordinate Executive meetings (e.g. Board of Directors, Staff, Management Committee Meetings), as well as develop agendas and other information prior to, during and after meetings. Attend meetings and plan, coordinate and oversee projects to completion.
- Some travel is required.
